UK Clinical Operations Support Representative (remote or hybrid)
Job Summary and Purpose:
We are seeking an experienced Clinical Operations Support Representative to join our UK Clinical Operations team.
In this role, you will provide vital operational and administrative assistance to the clinical team.
The position is dynamic and fast-paced, demanding excellent organisational abilities and outstanding communication skills to facilitate effective interactions with all levels of the organisation and external healthcare professionals.
Responsibilities:
- Act as the primary point of contact between the UK Clinical Operations team and external cardiac stakeholders, such as hospitals and healthcare professionals.
- Ensure timely communication of ECG irregularities by alerting physicians and clinical staff as outlined in the physician notification protocol
- Conduct follow-up on accounts to obtain further clinical details, such as pacemaker settings and MDN contact information.
- Utilise clinical case management ticket systems to address, action, respond and update case status
- Adhere to all departmental procedures and monitor all necessary data within iRhythm systems.
- Engage in providing feedback and assist in addressing any concerns or issues related to account notifications.
- Accurately document account information and contact details in Salesforce.com (SFDC) and ZioReports.
- Continuous monitoring of the Clinical Queue within SFDC
- Assigning scans to Cardiac Physiologists, including those designated as high priority.
- Reallocate AVB scans as necessary in accordance with established protocol.
- Collaborating with the Quality Specialist and Clinical Manager to ensure prompt completion of Clinical Tickets, including Amendment Requests, Expedite Requests, and FD scans.
- Monitoring the QA tool for aging scans and notifying the coach, clinical manager, and physiologists accordingly.
- Understand the process associated with no data scans and recuts. Continuing to monitor these and take necessary actions when required.
- Build relationships and effective communication with both internal colleagues, such as cardiac physiologists, and external stakeholders, including hospitals and healthcare professionals.
- Cross-functional support for projects on an as-needed basis.
Additional Information:
- The work schedule consists of Monday through Friday, totalling 40 hours per week, with hours from 9am to 5.30pm, including a 30-minute lunch break. Unfortunately, we cannot accommodate part-time or condensed hours
- This position is a full-time role, and we are open to remote or hybrid working
- Employees must be based within the UK
About you:
Required:
- College certification or equivalent qualification in relevant subject.
- PC proficiency with a solid understanding of Microsoft Office 365 including Teams & Outlook
- Possess clear, accurate and professional communication skills, both in verbal and written forms
- Excellent attention to detail
- Positive attitude and team player
- Ability to use critical thinking skills
- Ability to define problems, collect data, establish facts, and draw valid conclusions
- Excellent interpersonal, organisational, prioritisation and communication skills
- Great work ethic and a desire to provide high quality outcomes (reports) to our clients and patients
- Flexibility in work assignments; able to rapidly adjust priorities when business needs change
Desirable:
- Experience in a clinical, operations or administrative role within a clinical/healthcare environment
- Knowledge of medical terminology specific to Cardiology
- Knowledge & experience of Salesforce
