Overview

As an Administrative Officer, you will join the Universal Services Information Governance Team, supporting the Universal Services and Hampshire 2050 directorates. Your responsibilities will include managing complaints, information requests, senior management correspondence, and data protection matters. Guided by established procedures, you will ensure compliance with legislation and best practice while providing advice on information governance.

Key Responsibilities

  • Support the handling of Freedom of Information and Environmental Information Requests by logging, acknowledging, coordinating responses, and drafting replies.
  • Redact sensitive content and maintain accurate records of data incidents.
  • Assist with Subject Access Requests and other information rights matters.
  • Manage complaints and senior management correspondence, ensuring timely responses.
  • Support investigations and coordinate responses to petitions, liaising with Member Services.
  • Compile monthly and quarterly data for reporting purposes.
  • Manage distribution lists and carry out general administrative tasks to support the team.

What We’re Looking For

Qualifications & Experience

  • GCSE grade A–C in English and Maths (or equivalent).
  • A formal qualification or equivalent experience in business administration.
  • Strong background in varied administrative tasks.

Skills & Competencies

  • Excellent multitasking, organisational, and time management skills.
  • High attention to detail in data entry and documentation.
  • Ability to prioritise and meet deadlines.

Communication & Teamwork

  • Effective communicator across all levels and with external contacts.
  • Ability to work independently and collaboratively.
  • Handles confidential information with discretion.

Technical & Customer Service

  • Proficient in Microsoft Office applications.
  • Ability to deliver outstanding customer service with minimal supervision.
