 Description

The Business Support Officer plays a key role in delivering professional, efficient, and comprehensive business, governance, and project support to the Estates & Facilities Directorate across HPFT and HCT.

 Overview

You will support governance, projects, operations, and communication across the Estates & Facilities team, ensuring smooth coordination, accurate reporting, and efficient administrative systems.

Main Duties

Governance & Meeting Management

  • Full administration of governance and project meetings.
  • Prepare agendas, briefing packs, and minutes.
  • Maintain action trackers.
  • Produce executive-level reporting.

Project Management Support

  • Coordinate project plans and milestones.
  • Track risks, issues, and actions.
  • Prepare dashboards and reports.
  • Support stakeholder engagement, workshops, consultations.
  • Provide project documentation and board support.

Business Administration & Executive Support

  • Manage diaries and inboxes for senior leaders.
  • Prepare reports, business cases, board papers, and presentations.
  • Coordinate meetings and maintain organisational documentation.

Operational & People Administration

  • Track leave, sickness, training, and appraisals.
  • Support recruitment and onboarding.
  • Maintain HR records and payroll compliance.

Procurement & Financial Administration

  • Manage PRs, POs, invoices, and registers.
  • Support budget monitoring and forecasts.
  • Liaise with finance teams and suppliers.

Freedom of Information (FOI)

  • Lead FOI requests for Estates.
  • Log and track requests to meet deadlines.
  • Maintain the FOI database.

Communication & Stakeholder Management

  • First point of contact for Estates enquiries.
  • Build strong relationships with internal and external partners.

Service Development & Improvement

  • Improve administrative and project systems.
  • Support digital filing, SharePoint, and paperless processes.

Health, Safety & Equality

  • Support compliance activities and fire safety.
  • Uphold Trust values on Equality, Diversity & Inclusion.

Person Specification

Qualifications — Essential

  • Knowledge of administrative systems to degree level or equivalent.
  • Secretarial/admin training to Level 3 or equivalent.

Qualifications — Desirable

  • Membership of a relevant professional body.
  • Additional governance or project management training.

Experience — Essential

  • Proven experience in administration, governance, and project support.
  • Ability to manage non-routine issues and problem-solve.

Experience — Desirable

  • Experience training or mentoring others.

Skills — Essential

  • Excellent IT skills (Microsoft Office, SharePoint).
  • Strong communication and relationship-building abilities.
  • Ability to handle sensitive and complex information.
