Job Purpose
The Operations Assistant plays a critical role in ensuring the smooth and efficient functioning of daily operations by providing administrative, data, and financial support to the KIT Operations Team including the VP of Operations, Business Director, Training and Inclusion Support Center Managers, and Data & Systems Strategist. By maintaining accuracy, organization and clear communication, the Operations Assistant helps optimize workflow efficiency and supports managers in making informed decisions.
Essential Duties and Responsibilities
General Administration
- Generate and deliver Salesforce reports to managers on completeness of data entry and completed site visits/calls by the Training and Specialists teams on an agreed upon cadence.
- Organize and deliver information for managers from client satisfaction surveys from trainings and calls for trends related to strengths and concerns.
- Match receipts with credit card statements, ensuring accuracy and completeness.
- Coordinate base access for the Trainer team via the CAC process.
- Schedule check-in meetings between managers and employees.
- Occasional copy editing of KIT documents including but not limited to site visit and ISC reports.
- Attend regular Trainer and Support Center meetings, KIT staff meetings and other meetings, as assigned including annual in-person KIT-a-Palooza gathering.
- Coordinate and communicate with KIT clients as needed on scheduling, responding to data requests, etc.
- Identifying areas where improvements can be made in the organization and contributing to innovation in operational processes.
- Assisting with the hiring process, by reviewing and communicating with candidates.
- Supporting the Business Director with preboarding tasks needed and assisting the hiring manager by tracking the orientation process for new employees.

Experience, Skills, and Competencies
2+ years in administrative or office coordination role.
Willingness to ask questions to understand the needs of the team.
Effective communicator with a variety of team members.
Experience compiling and organizing data from multiple platforms.
Proficient in Microsoft Office Suite, specifically Excel, Calendly, Planner
Proficient in CRM (Salesforce) preferred
Experience using SurveyMonkey preferred
Experience navigating expense platforms (SAP Concur) preferred

**Although this position is remote, KIT employees are expected to attend our in-person staff gathering at least once a year. This is typically a week-long event. KIT covers travel, lodging, and meals for this event.

Pay: $22.00 per hour
