Commitment: 4 days a week (option to start at 2 days/week and grow to 4)

Salary Range: EUR 33–44,000/year

About Us
Kumquat is a boutique facilitation and coaching business based in Brussels, Belgium since 2013. We design and deliver purposeful gatherings for international clients — companies, philanthropies, NGOs and institutions.
Our two-person core team is now looking for an Operations Manager to help us enter our next phase of growth.
The Role
As our Operations Manager, you’ll be the backbone of our operations — keeping projects on track, tools in sync, clients happy, and systems running smoothly.
Your key responsibilities will include:
- Running client-facing operations (onboarding, proposals, project timelines, scheduling)
- Supporting business operations (newsletters, masterclass schedules, LinkedIn posts, marketing support)
- Managing knowledge & documents (templates, shared folders, Notion setup, document review)
- Handling business admin (proposals, contracts, invoicing, payments, receipts)
- Maintaining and improving systems (Asana, Airtable, Drive, Harvest, HubSpot CRM, Make automations)

- Enjoy working with tools, automations, and smarter workflows
- Value professionalism, clarity, and follow-through
- Thrive in small teams and multicultural environments
Requirements:
- Several years’ experience in operations, project management, or executive support
- Confident with project management tools (Asana, Airtable, Notion)
- Strong tech fluency (Google Workspace, CRM, Zoom/Miro/Mural, automations)
- Excellent business English, with strong writing and editing skills
- Experience handling business admin (invoices, contracts, shared drives)
Bonus points if you enjoy experimenting with tools, workflows, and AI where it makes sense.
