About the Role

We are seeking a reliable and detail-oriented Virtual Assistant to support daily operations for a busy, service-oriented business. This role is ideal for someone who is tech-savvy, organized, and capable of managing a variety of administrative and project coordination tasks in a fast-paced remote environment.

You will work directly with company leadership and team members to ensure tasks are completed efficiently and deadlines are met. Prior experience in remote support roles or industries such as real estate, finance, or client services is a plus—but not required.

Responsibilities

Administrative Support

  • Manage inboxes: sort, prioritize, and respond to emails professionally
  • Upload and manage data using third-party platforms and internal systems
  • Prepare and process forms, waivers, reports, and documentation
  • Maintain and update task boards, calendars, and project trackers
  • Assist with document preparation, proofreading, and follow-ups

Project & Operations Coordination

  • Support projects with scheduling, status updates, and documentation
  • Track timelines and flag delays to relevant stakeholders
  • Communicate with vendors or partners to confirm orders and timelines
  • Maintain spreadsheets and update internal databases

Client & Vendor Communication

  • Respond to basic inquiries in a timely and courteous manner
  • Act as liaison between field staff and clients when needed
  • Log feedback and ensure necessary follow-up

CRM & Data Entry

  • Enter and update customer information in CRM systems
  • Perform basic financial logging (e.g., invoices, budget tracking)

Requirements

  • 2+ years experience as a Virtual Assistant, Executive Assistant, or similar role
  • Excellent written and verbal communication skills
  • Strong multitasking and time management skills
  • Proficiency in Google Workspace (Docs, Sheets, Calendar, Gmail)
  • Familiar with tools like Asana, Monday.com, ClickUp, or Trello
  • Experience with CRM platforms and/or light bookkeeping is a plus
  • Ability to work remotely and manage time zones effectively
