Job Summary

You are a highly organized and discreet Personal Assistant. You would be working to support a family of two high-performing executives in the tech & creative space. You excel at creating efficiency and effectiveness. As a great multi-tasker, you’ll manage the master to-do list. You are proactive, think ahead and continuously improve systems.

Job Description/Requirements

Responsibilities:

    • Manage the family calendar and business calendar.
    • Schedule and manage appointments, meetings, and calls, ensuring no conflicts and prioritizing tasks.
    • Filter, respond to, and organize the family’s emails, ensuring prompt responses to important communications.
    • Organize and prepare for meetings, including setting up virtual links, preparing agendas, and ensuring all necessary documents are available.
    • Manage projects efficiently, align on project statuses, schedule key meetings, and ensure the family’s time is efficiently allocated.
    • Prioritize and manage multiple tasks to ensure deadlines are met.
    • Implement effective time management strategies to enhance family productivity.
    • Assist the family in preparing and organizing documents such as contracts, quotes, and creative briefs, presentations, and documents and ensure the family is informed of project progress and required actions.
    • Assist the family in booking appointments, and conducting research.
    • Assist in the coordination and execution of internal events and team activities.
    • Maintain strict confidentiality of all sensitive information.
    • Liaise with internal 3rd parties to gather necessary information for the family’s projects and tasks.
    • Organize travel itineraries, including booking flights, accommodation, and transport.

Edit video content for publishing on social media platforms as well as visual design content using tools such as Canvas

 

Requirements:

  • 3+ Years of Experience in a Personal Assistant role or in a similar role.
  • High proficiency using Notion to manage, tasks, projects, calendars, databases and organise information.
  • Excellent spreadsheet skills using Google Sheets or similar spreadsheet software to create; plans, trackers, budgeting.
  • Excellent presentation creation skills, PowerPoint, Google Slides, Keynote.
  • Excellent organizational and time-management skills.
  • Creative business experience preferred.
  • Strong verbal and written communication skills.
  • Ability to manage multiple priorities in a fast-paced environment.
  • High level of discretion and confidentiality.
  • Strong problem-solving skills and attention to detail.
